Phishing Tip 2: Block 鈥渏unk鈥 or spam email senders to reduce email clutter. 
How to Block email senders:

  • Open Outlook.
  • Select the email you want to block.
  • Click 鈥淛unk鈥 on the Outlook toolbar.

  • Select 鈥淏lock Sender鈥 from the drop down menu to add the sender鈥檚 name to your personal block list. Emails from the sender will now be automatically moved to your 鈥淛unk鈥 folder.

  • Over time your 鈥淛unk Mail鈥 folder will fill up. To empty the 鈥淛unk Mail鈥 folder, just right click the folder and select 鈥淓mpty folder.鈥

Phishing Tip 3: Automatically move external e.g. non-Samuel Merritt generated emails to a folder. This allows you to separate internal from external emails and reduce the likelihood of clicking on a malicious link or attachment. 
How to setup an External folder:

  • Open Outlook and select 鈥淩ules鈥 on the menu bar at the top of Outlook.

  • Select 鈥淢ove messages with specific words in the subject to a folder鈥 
    Click the 鈥淣ext鈥 button

  • In the 鈥淩ules Wizard鈥 select 鈥渨ith specific words in the subject鈥. 
    Then click on 鈥渟pecific words鈥 in Step 2 on the lower half of the box.

  • In the 鈥淪earch Text鈥 dialog box 鈥淪pecify words or phrases to search for in the subject:鈥 type [***External***]. 
    Then click the 鈥淎dd鈥 button.

  • You should see 鈥淸***External***]鈥 in the 鈥淪earch List鈥. Click 鈥淥K鈥.

  • Now click 鈥渟pecified鈥 folder.

  • You can chose and existing folder or a new one. To select a new folder, click the 鈥淣ew鈥 button.

  • Give the new folder a distinctive name like 鈥***External*** Mail鈥 
    Note: using asteriks will list the folder at the top of the list of folders it is nested in. 
    Click 鈥淥K鈥.

  • You should now have [***External***] as the specific words in the subject, and ***External*** Mail in the move to鈥older. 
    Click 鈥淣ext鈥.

  • You can click 鈥淣ext鈥, unless you want to edit something.

  • If there are specific email addresses you KNOW are good, you can add them by selecting 鈥渆xcept from people or public group鈥 and adding them. 
    Be very cautious about using this.

    Give the Rule a name, like 鈥***External***鈥 that will help you understand what the rule does. 
    Optional: You can have the rule run now on your inbox by selecting 鈥淩un this rule now on messages already in 鈥淚nbox鈥濃. 
    Click 鈥淔inish鈥.

  • Here is your new Rule! 
    Click 鈥淥K鈥.

Now that you have the ***External*** emails in a separate folder, you can review those when you have a bit more time to think carefully about them. And remember: 鈥淏e paranoid, because the bad guys really are after our patients鈥 information鈥.
